EVENT OPERATIONS MANAGER

RESPONSIBILITIES
-
Understand + proactively manage events + their functions with a “can do” approach. Areas include but are not limited to: special event management, venue + vendor coordination, production, creative ideas + concept development with clients after sale, activity/tour arrangements, site inspections + other DMC/event management tasks as required.

Be available for clients at all times acting as a “24/7” contact during programs

Build + maintain positive working relationships with The Destination Manager’s internal Sales team, industry suppliers + other strategic partners to achieve successful outcomes.

Responsible for the logistical management + operational execution of client events + programs

Manages program changes during pre-planning + on-site, negotiating + up-selling
-
Orders, confirms + re-confirms all suppliers, develops relationships with supplier/partners, negotiates + contracts terms-of-service + price including, but not limited to service expectation levels, guarantees, cancellation, billing information, directions, etc.

Determines Field Staff work assignments, based on program schedule + staffing needs

Prepares + distributes trip sheets + any other relevant program information + direction for Field Staff

Manages cost preparation, program summaries, deposit invoices, service agreements, + related correspondence

Completion of all program production paperwork, such as trip sheets, check requests, service agreements, invoicing, program costing, expense reports, etc.

Final program reconciliation, billing, + invoicing

Responsible for forwarding any necessary program information to hotel + venue representatives to ensure seamless coordination with venue operations

Conducts pre-con meetings with client/hotel to review all details of the program as confirmed
KNOWLEDGE + SKILLS

Local expert well versed in “everything“ Phoenix + Scottsdale

Microsoft Office suite proficiency

Must be able to work flexible hours including weekends, evenings + holidays

Ability to manage operations functions + effectively supervise + direct Event Guide Staff

Comfortable with e-mail, phone + in-person communication.

Handle conflict + challenges effectively while staying focused on desired outcome.

Highly self-motivated, solution-oriented, collaborative, proactive + decisive.

Excellent interpersonal + communication skills with a diverse group of clients, supplier partners, coworkers + employees

Ability to effectively present information + respond to questions from clients, supplier partners + hoteliers

Ability to multitask + work on multiple programs with different deadlines

Must be able to work well with all levels of management + staff, hoteliers + venue staff, clients + supplier partner
EDUCATION + EXPERIENCE

Bachelor's degree or equivalent experience
-
Three years of experience in overseeing the execution of corporate meetings, client events, + other complex programs. DMC, corporate incentive travel, hospitality or related experience highly preferred
